Job Description:
In this fast-paced environment, the Scheduler in Dentistry functions primarily as a patient scheduling facilitator working closely with the dental providers, dental attending staff, and Chief Dental Officer under the direction of the manager of the Dental Department. This individual is responsible for accurate scheduling of dental procedures, receiving patients, managing dental providers schedule, and updating of patient demographic. To perform these duties appropriately, the individual must acquire in-depth understanding of all procedures performed in Dentistry, including knowledge of the average length of each procedure as well as appropriate providers and attendings for all such procedures. Outstanding customer service skills are necessary as well as exceptional interpersonal skills, organizational skills, being self-motivated with good independent judgement, as well as familiarity with pertinent computer applications.
The individual attends to patients on the phone and in person. Coordinates and organizes appointments, reschedules missed appointments, follow-up calls, and assists administration to facilitate the efficient running of the dental department. Schedules patients; does routine reception work; accurately records, verifies, and updates information on patient records; helps to identify related medical and/or social problems; maintains and manages patient records in compliance with privacy and security regulations; informs patients of dental office policies; helps implement the processing of encounters and billing and bookkeeping procedures; answers and manages incoming phone calls, greets patients in person, returns phone calls, consults with dental department manager or dental director, and communicates with dental suite to inform or coordinate walk-in emergency clients. Ensures to fill in cancellations and no-shows, confirms upcoming appointments and recalls according to office protocol; maintains a professional reception area; safeguards patient privacy and confidentiality. Performs other duties as assigned.
Skills Required
Excellent telephone communications, interpersonal, coordination and organizational skills. Ability to read computer screens, forms, and other documents and follow written and oral instructions. Moderate keyboarding skills. Ability to work in a fast-paced, changing environment. Ability to respond to unpredictable, changing situations and needs (including clinical crises in the department and otherwise stressful situations and interactions) with professionalism, good judgment and ALWAYS excellent customer relation skills. Prior customer service coordination, or clinical experience necessary. Excellent communication and people skills. Ability to remain calm and professional in high stress situations.
Coordinates and supports all tasks related to patient scheduling.
Does routine reception work; accurately records, verifies, and updates information on patient records; helps to identify related medical and/or social problems.
Ensures all outpatient paper and electronic charts are maintained appropriately to Department and FQHC standards.? Ensures all outpatient encounters are communicated accurately with optimum customer service.
Responsible and accountable for consistently maintaining Scheduling Guidelines and Compliancy Regulations as identified by the department manager and Department Chief.
Works with manager/coordinator to ensure all quality control measures have been addressed.
Follows HIPAA guidelines when working with confidential patient information. Maintains and manages patient records in compliance with privacy and security regulations.
Consults with dental department manager or dental director, and communicates with dental suite to inform or coordinate walk-in emergency clients.
