Job Description:

The Office Services Assistant/Runner will have primary responsibility to provide office services support to the St. Croix office.

 

Position Responsibilities

  • Coordinating, ordering and picking up daily / weekly / special occasion lunches
  •  

  • Monitoring and replenishing the refrigerator, snacks, beverages, etc.
  •  

  • Monitoring and replenishing restroom supplies (soap, hand towels, etc.)
  •  

  • Running errands, shopping for office supplies and food and making deliveries of urgent mail / packages
  •  

  • Coordinating various office events
  •  

  • Scheduling meetings

     

  • Ensure that tax related documents and payments are filed with IRB in a timely manner
  •  

  • Maintain calendar and ensure timely completion of EDC compliance requirements
  •  

  • Maintain BCP and ensure that it is kept up to date
  •  

  • Maintain and troubleshoot IT related issues, ensure that all necessary equipment are available for employees and functioning
  •  

  • Communicate with vendors as needed for service, supplies and other necessary information
  •  

  • Providing support to the team as needed
  • Other duties as assigned
  • Ensure that insurances are renewed in a timely manner and any change requests are communicated
  •  

  • Manage daily office operations and communicate with landlord/others as needed for maintenance and office related issues
  •

Candidate Requirements

Qualifications & Experience:

  • Bachelor’s degree or equivalent education required
  •  

  • Excellent computer skills, familiarity with Microsoft Office suite
  •  

  • Excellent communication skills (verbal and written)
  •  

  • Friendly, upbeat, pleasant demeanor; good at building alliances and possesses a helpful, client support attitude
  •  

  • Strong organizational skills
  •  

  • Detail-oriented, meticulous, highly accurate
  •  

  • Ability to maintain confidentiality in all aspects of job responsibilities
  •  

  • Strong work ethic, flexible with regard to hours
  •  

  • A "no task is too small" attitude
  •  

  • Ability to manage changing demands in a fast-paced environment with strong multi-tasking skills
  •  

  • Ability to lift 25 pounds
