Job Description:

This position is for an Administrative Associate to perform general administrative duties and other Company\'s duties as established by Management. Successful candidate will be responsible to report to the Operations Manager for work assignment. Tasks for this position are, yet not limited to:

  • Answer phone calls and direct calls to appropriate parties or take messages
  • Conduct research, compile data, and prepare papers for consideration and presentation
  • Attend meetings to record minutes
  • Greet visitors and determine whether they should be given access to specific individuals
  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work
  • File and retrieve corporate documents, records, and reports
  • Make travel arrangements for executives
  • Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities
  • Compute, record, and proofread data and other information, such as records or reports
  • Type, format, proofread, and edit correspondence and other documents, from notes, using computers or typewriters
  • Complete work schedules, manage calendars, and arrange appointments
  • Review files, records, and other documents to obtain information to respond to requests
  • Transmit information or documents to customers, using computer, mail, or facsimile machine
  • Provide information about establishment such as location of departments or offices, employees within the organization, or services provided
  • Assist all Departments reports, collection of data and additional administrative duties
  • Must be flexible and adjust easily to changes in work assignments
  • Must be able to multi-task and meet deadlines
  • Computer software knowledge is a MUST! Such as Microsoft Office Suite and Photoshop
  • Experience in editing documents, webpages, flyers, contracts, agreements and additional documentations as needed

Skills Required

KNOWLEDGE:

  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Knowledge of principles and methods for curriculum and training design, teaching and instruction for individuals and groups, and the measurement of training effects.
  • Knowledge in office oriented software (Microsoft Office)
  • Knowledge in Quickbooks

ADDITIONAL REQUIREMENTS:

  • Candidate MUST have reliable transportation and valid drivers’ license.
  • Candidate MUST be knowledgeable with Microsoft Office Programs (2000 / 2003 / 2007)
  • Willing to work closely with youth and / or adults to assist in the monitoring of the participants\\\\\\\\\\\\\\\\\\\\\\\\\' training progress and files.
