SummaryThe Clinical Coordinator serves as a liaison between clinical sites and program for all student rotation placement needs. Essential FunctionsMaintenance of Clinical Rotation Data Bases - Update preceptor and site contact information in the procedure manual, electronic plotting grid and Typhon.
- Update student rotation assignments on the paper “brain” schedule, electronic plotting grid and Typhon.
- Maintain and update clinical data in PA Manager.
- Monitor/Tracking of Rotation as well as End of Rotation Absences
Preparation of Documents for Clinical Rotation Assignments - Confirmation of clinical site/preceptor availability.
- Notify clinical sites/preceptors of student assignments.
- Notify students of rotation assignments and requirements
- Assist students with time sensitive site requirements (FBI screening, employment verifications, additional vaccines, mandatory orientation and credentialing instructions for clearance).
- Submit mandatory documents to health care facilities including health records, background checks, drug screen, passport, degree, transcript, and Curriculum Vitae.
- Prepare and submit Letters of Good Standing (LOGS) to clinical sites/preceptors.
- Conduct Summative File Review session prior to final summative evaluation
- Create, scan, and electronically store Clinical Orientation Certificates
Communication Liaison for Clinical Team - Answer emergency calls from students on rotations and contacts faculty and staff when necessary for assistance.
- Answer preceptor calls in regards to students and urgent rotation matters.
- Communicate effectively with clinical faculty regarding student and preceptor issues and any changes in schedules.
- Participation in clinical team meetings.
- Prepare and mail certificate of appreciation to all Medical Education and Hospital coordinators.
- Prepare and coordinate annual mailing of CME certificates for each preceptor.
- Collaboration within University with other departments for eternal events.
- Rotation of writing/distributing Clinical Team meeting minutes.
- Present guidelines on Immunization Tracking System, Criminal Background Check, and Health Insurance during New Student Orientation.
- Auditing of health compliance for matriculation/didactic year students.
- Alumni recruitment (emails and follow-up phone calls) in conjunction with Site Development Team.
- Back-up for End of Rotation Events.
- Assist Contract Specialist with distributing preceptor applications to potential preceptors, tracking, and data entry into PA Manager.
- Clinical Orientation Back-up.
- Submit preceptor credentials to Medical Director and/or Legal Department of approval.
- Assist with all Program events (NSO, Commencement, Convocation, White Coat Ceremony).
- End of Rotation File Review.
- Clinical Coordinator.
- Curriculum Committee member.
- Assist with Site Development (including traveling to different islands and/or mainland).
Qualifications/Requirements - High school diploma. An Associate's degree is preferred.
- 3-5 years of relevant experience.
- Must have the ability to work with minimal supervision and be detail oriented.
- Intermediate level of experience with Microsoft office applications.
- Excellent communication and interpersonal skills.
